A rain day is not automatically a compensable delay. A forecast is not proof. And a daily report that says only “weather delay” will not carry much weight when the owner, GC, insurer, or attorney asks what actually happened. Knowing how to track jobsite weather delays means creating a record that connects actual conditions to lost work, schedule impact, notice requirements, and the steps your team took to reduce the damage.
That record has to be built while the weather event is happening. Trying to recreate it weeks later from memory, scattered texts, and a weather app screenshot is how otherwise legitimate delay claims lose strength.
Start With the Contract, Not the Forecast
Before the first major weather event, review the project’s contract documents. The prime contract, subcontract, general conditions, and project schedule may all address weather differently. Some contracts allow time extensions for unusually severe weather but no added compensation. Others require written notice within a specific number of days. Some define adverse weather by measurable thresholds, while others rely on historical averages or the project’s baseline schedule.
This matters because a weather report alone does not establish entitlement. Your team still needs to show that the conditions were beyond what was anticipated, affected planned work, and caused a real impact to the project schedule or cost.
A superintendent should know the project notice process before the job gets wet. If the contract requires notice within 48 hours, a well-written daily report is useful, but it may not replace formal notice. Send the required notice on time, then use daily records to support it.
How to Track Jobsite Weather Delays in Daily Reports
The strongest weather documentation is specific, consistent, and tied to field operations. Every affected day should record actual conditions at the jobsite, not just the regional forecast.
Start with the basics: temperature range, precipitation type and amount if available, wind conditions, lightning, humidity, and ground conditions. Note the time the condition began and ended when possible. “Rain” is weak. “Steady rain from 6:20 a.m. to 11:45 a.m.; standing water across excavation access and laydown area” gives the office, scheduler, and project team something they can use.
Then document the operational consequence. Which activity could not proceed? Was the crew sent home, reassigned, delayed, or kept on standby? Did equipment sit idle? Did wet soil prevent excavation, hauling, compaction, or concrete placement? Did high winds stop crane picks, exterior framing, roofing, or lift work? Did lightning require crews to clear exposed areas?
A useful daily report separates these facts:
- Actual weather and site conditions
- Planned work that could not proceed
- Labor, equipment, and material impacts
- Recovery, mitigation, or resequencing steps taken
That separation keeps the report factual. It also prevents a common problem: a report that proves poor weather occurred but does not prove why work stopped.
Document the Work That Was Scheduled
Weather only becomes a delay when it affects work that was planned and ready to perform. Record the scheduled activity, work area, responsible trade, and expected production. Reference the current look-ahead schedule when possible.
For example, do not write, “Rain delayed project.” Write, “Civil crew scheduled to fine-grade and compact south parking area. Work could not begin due to saturated subgrade and ponding. Seven operators and laborers reassigned to material staging from 8:00 a.m. to 1:00 p.m. No compaction testing performed.”
That entry shows planned work, physical site conditions, labor impact, and the specific production loss. It is far more defensible than a broad statement that the day was lost.
Record Partial Delays Honestly
Not every weather day shuts down the entire site. Treating a partial impact as a full shutdown can damage credibility later. If interior framing continued while exterior steel erection stopped for wind, say so. If the concrete crew lost three hours waiting for rain to clear but poured later that afternoon, document the lost time and completed work.
Accuracy protects the record. A project team reviewing a claim will compare daily reports against timecards, photos, schedule updates, inspection logs, delivery tickets, and other trade reports. Overstating the impact creates openings for the other side. A precise record shows your team is reporting conditions, not manufacturing a claim.
Capture Evidence While Conditions Are Visible
Photos matter, but only when they show context. Take photos of flooded excavations, muddy access routes, standing water, wind-damaged protection, snow-covered work areas, unsafe roof conditions, and equipment that cannot safely operate. Include wide shots that establish location as well as close shots that show the condition.
Time-stamped mobile photos tied to the daily report are more useful than a folder of unlabeled images. If the site has several work zones, identify the location in the report: north elevation, Level 4 deck, west utility trench, or Building B loading area.
Third-party weather data can support the jobsite record, especially for rainfall totals, temperatures, wind gusts, and lightning activity. But it should support firsthand documentation, not replace it. The nearest weather station may be miles away, and local conditions can vary sharply. Your report should state what the field team observed and then preserve the outside data as corroboration.
Also document downstream effects. Rain may stop work on Tuesday, but saturated soil may prevent hauling, testing, or compaction through Thursday. High winds may cancel a crane pick, which then pushes steel erection, decking, and follow-on trades. The original condition and the continuing impact should both appear in the record.
Track Labor, Equipment, and Cost Exposure
Weather delays create different types of exposure. A crew sent home may create lost productivity or standby costs. A crew that stays onsite but performs lower-value work may create inefficiency. Rented pumps, heaters, cranes, lifts, and temporary protection can add cost even when no productive work occurs.
Daily reports should identify manpower by trade and distinguish between productive work, reassigned work, waiting time, and shutdown time. Equipment logs should show whether equipment was operating, idle, unavailable, or used for mitigation. If a dewatering pump ran all day after heavy rain, that is part of the weather record.
Do not assume every cost belongs in a weather claim. The contract allocation of risk controls. Still, document the cost and impact as they occur. A clean record gives the project manager options. A weak record takes options away.
Connect the Event to the Schedule
The schedule question is where many weather-delay records fail. Lost hours are not automatically a project delay. If the affected work had float, if crews could resequence without affecting a critical path activity, or if the team recovered the time, the schedule result may be limited.
That does not make the field record less valuable. It means the report should avoid making schedule conclusions that have not been analyzed. The superintendent’s job is to record what happened in the field. The project manager and scheduler can evaluate critical path impact, concurrent delays, available float, and recovery options.
Each weather event should be easy to match to a schedule activity. Use consistent activity descriptions, work areas, and dates. When a delay extends beyond one day, note that it is continuing and explain why. “No excavation due to rain” becomes much stronger when the next day’s report states, “Excavation remains suspended due to unstable trench walls and failed proof-roll after prior day’s rainfall.”
Build a Same-Day Reporting Habit
The best process is simple enough to happen at the end of a hard day. Supervisors should enter weather, manpower, work performed, delays, photos, and mitigation actions before leaving the site. Train foremen on the difference between a weather condition and a documented weather impact. Give them examples of acceptable entries. Review reports early in the project, not after a claim develops. A few minutes of coaching can prevent months of reconstruction.
When the next storm rolls through, do not settle for “weather delay” in the daily log. Record the condition, the affected work, the manpower and equipment impact, the mitigation effort, and the continuing site effect. A weather event may be unavoidable. A weak record is not.
